Trello
Given that I work with multiple virtual assistants for writing, graphic designing, video editing, etc, I needed a place where I could organize all of the tasks – both ongoing, to be worked and completed – into one place and share access to these VAs.
With its eye-catching, customisable, and intuitive boards, Trello makes organising, coordinating and work tracking easy for course creators – even small business owners!
Trello allows the team leader to assign tasks to the team members by writing on the colourful sticky notes with the specific job and the member assigned to complete it.
Trello relies on a kanban board in its app wherein the note is then posted under either of the three columns or lists, which can be titled to-do-list, doing, or done.
What we love about it
- The kanban board in Trello app is clean, customisable, fun, and very simple to follow.
- Trello is a cloud-based project management app that makes collaboration with internal and external teams easy to do.
- They offer freemium models and cheap plans for businesses. Even with the Free Plan, you will already get Unlimited Personal Boards, several Team Boards, Unlimited Lists, Unlimited Cards, a Power Up for every board, small file attachment, and a Basic Security.
- Power Ups are unique features of Trello, and they turn the boards into applications with different features for better project management.
- Members can discuss projects in real-time by putting up suggestions on tasks, sending comments and notes and sharing their files.
- Files can be uploaded directly from Dropbox, Google Drive and Box.
Gone are the days of destructible or easily stolen physical storage for your precious data. After my laptop got stolen, I’ve learned to have all my working documents synced online, which is why I’ve upgraded my Google Drive space.
Google Drive
Google Drive is a secure cloud-based storage platform that helps you store all your files, such as documents and sheets, online and access them from anywhere and anytime using your device.
It’s also great to share these documents with other team members working on a project with you. For instance, I created a file for articles that require writing and I share it across with my writers to work on and share the completed articles there.
Unless you actually upload pictures and videos, these documents and sheets take up virtually no space at all.
What better way than to store all your working files and documents in one place, synced?
What we love about it
- Features cloud-based apps for collaboration. Google Docs, Sheets and Slides lets you share content, spreadsheets, and ideas with your internal and external collaborators who can edit and comment on the documents.
- Google Drive integrates with your existing course creating tools such as Microsoft Office, Adobe, Slack, and many more. It also supports many file types such as PDFs, videos, images and a lot more.
- Shared drives allow the team member to share their content with the team. All the project files by the team members can be organised in one drive.
- No internet? No problem. Google Drive allows you to edit your content in the drive offline. The files will be synced as soon as you get an internet connection.
Calendly
With creating a service-based business, it’s oftentimes necessary to get on calls with prospects, existing customers as well as with business partners. Creating online courses is the same; it’s a hectic job that involves constant meetings with team members and customers or leads.
Calendly is a scheduling tool that’s great for booking and blocking out time slots. It used to be a hassle sending a lot of back and forth emails just to schedule a meeting and quickly losing the schedule in the myriad of communications.
With Calendly, you can send a link to someone or even paste a link of your schedule on your website and social media so people will see when you’re available and decide the best time to have a meeting.
What we love about it
- There is less confusion in scheduling. Meeting with someone in another timezone is a breeze. That person will automatically see the schedule according to his local timezone.
- The user interface is clean, simple to use, and attractive.
- Calendly automatically syncs to Google Calendar and Mac Calendar, so you don’t miss a booking.
- Zoom and GoToMeetings can also be integrated into Calendly where the links and passwords are shared with anyone in the meeting. It’s as simple as opening Calendly and clicking the link to start the session!
- It also allows integration with Paypal and Stripe in case you are sharing paid classes on Zoom.
For Meetings
Google Hangouts
Google Hangouts is a great communication tool by Google that allows video conferencing, voice calling, and messaging with your contact list. It’s actually my choice for meetings over Zoom thanks to it’s cleaner interface. The only caveat is you can’t do recordings unless you upgrade to one of Google Workspace’s plans.
Google Hangouts replaced many of Google’s communicating platforms, such as Google Talk, Google Messenger, and Gchat.
What we love about it
- Excellent user interface and easy to navigate.
- Screen sharing or desktop sharing features.
- Google Hangouts can integrate different Google apps such as Calendar and the Drive so you won’t miss any meetings and you’ll be updated with changes in the project content, respectively.
- The video feature of Google Hangouts allows broadcasting to a broader audience. The link to the broadcasts can be placed on Youtube or on social media for your audience to access with one click.
- Making international calls is cheap when you call contacts with the Hangout App as well.
Zoom
Zoom was created in 2011 but only became truly popular in 2020 when face-to-face meetings were suddenly not allowed because of the pandemic.
Zoom is a conferencing tool that offers smooth and reliable video calls. Their video and audio calls are provided in High Definition. Their primary focus is on stability when conferencing.

- Zoom offers three features that make video conferencing fun. These are Video Filters, Virtual Backgrounds and Touch up my Appearance. These features help you look more presentable in virtual meetings.
- Screen sharing or desktop sharing feature allows the sharer to show everyone in the meeting what he or she is working on. It is also great for real-time instructions. You can let a certain member in the forum take control of your screen.
- Compare notes by sharing your screen with someone else’s screen.
- Breakout rooms allow the participants to go in separate groups and have their mini-conference on their own. Once finished, they can go back to the main meeting group.
- Zoom can let you record your meetings.
- The audio quality is also much more enhanced than Google Hangouts.

This is something that you’ll not get from just reading texts all the time.
VideoAsk works by letting you record your questions to your audience and then copy the link or embed it on your website. Your audience can answer the questions through text, voice, or even their own video when clicking on your link.
